Within Compligo, all completed activities are filed in a users Personnel File, inside a File in Folder. File In Folders are used to organize content and control access. Granting access to a File in Folder will allow a user to view items filed within it, when viewing a Personnel File. Access to File In Folders are specific to each folder and controlled one of two ways: Basic File in Folder Permissions and Manage Permission Groups.
Basic File In Folder Permissions
Each File In Folder has two settings Allow Subject to View and Allow Supervisor(s) to View. Choosing Allow Subject to View will allow a user to view completed activities filed in this folder. Choosing Allow Supervisor(s) to View will allow both direct and indirect supervisors to view activated files in this folder when viewing a Personnel File.
To edit basic file in folder permissions:
- Click on the Admin tab.
- Click on the Workflow / Forms subtab.
- Click on File In Folders.
- Click on Edit next to the desired File in Folder.
- Click on Allow Subject to View and/or Allow Supervisor(s) to View.
- Click on Save.
Manage Permission Groups
In addition, groups can be granted access to File in Folders through "Manage Permission Groups". (Note: In order to view File in Folders within a personnel file, a user will need to be able to access that personnel file. Review the article on how to Set Permissions to View Personnel at a Location for instructions on granting permissions to view personnel files.)
- Click on the Admin Tab.
- Click on the Workflow / Forms subtab.
- Click on File in Folders.
- Click on Manage Permission Groups for the desired File in Folder.
- To add a Groups:
- Click on Add New.
- Select the desired Group from the list.
- Repeat for each group to be added.
- Click on Save.
- To remove a Group:
- Click on Remove next to the Group to be removed.
- Click on Save.
